Privacy Policy

This policy explains what personal data VANHELM collects, why, how it is handled, and the rights you have over it. We keep data collection to the minimum needed to respond to enquiries and run the site.

01

Who we are

VANHELM is a fractional technical partner for e-commerce, automation and AI, operating B2B through Wandenmeer Tech Ltd, a company registered in England & Wales, CRN 10049352 at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.

For the purposes of applicable data protection law (including the UK GDPR and EU GDPR), we are the data controller for personal data processed through this website. Questions: [email protected].

02

What data we collect

We collect only what you give us and a limited amount of technical data:

  • Contact details you submit — name, company, email address, and the message you send through the contact form.
  • Usage & device data — if you consent to analytics: pages viewed, approximate location, browser and device type, and similar aggregate statistics.
  • Technical logs — our hosting and security providers process IP addresses and request data to deliver and protect the site.

We do not knowingly collect special-category data and ask that you do not include sensitive personal information in messages.

03

How we use it & legal basis

We process personal data to:

  • respond to your enquiry and correspond about a possible engagement — legal basis: steps prior to entering a contract, and our legitimate interest in answering enquiries;
  • understand and improve how the site is used — legal basis: your consent (analytics cookies);
  • keep the site secure and operational — legal basis: our legitimate interest in security and reliability.

We do not sell your personal data, and we do not use it for automated decision-making with legal effects.

04

Cookies & analytics

Essential cookies needed for the site to function are set automatically. Analytics cookies (Google Analytics 4) load only after you accept them in our cookie banner — by default they are disabled (Google Consent Mode, analytics_storage: denied).

You can change or withdraw your choice at any time by clearing this site's cookies in your browser, which brings the banner back. Analytics data is aggregated and used to understand site usage, not to identify you personally.

05

Who we share it with

We use a small number of trusted processors who act on our instructions:

  • Formspree — delivers contact-form submissions to our inbox.
  • Google Analytics — usage statistics, only with your consent.
  • Cloudflare and our hosting provider cyber_folks — content delivery, security and hosting.

Each processes data under its own terms and applicable data-protection agreements. We share data with authorities only where legally required.

06

International transfers

Some providers may process data outside your country. Where personal data is transferred internationally, it is protected by appropriate safeguards such as Standard Contractual Clauses or an equivalent adequacy mechanism.

07

How long we keep it

We keep enquiry correspondence only as long as needed to deal with your request and for a reasonable period afterwards for our records, then delete it. Analytics data is retained according to our Google Analytics settings (12 months). We review what we hold periodically and remove what we no longer need.

08

Your rights

Subject to applicable law, you have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict processing, and to withdraw consent at any time. To exercise any of these, contact [email protected].

If you are in the UK or EU and believe we have not handled your data properly, you may lodge a complaint with your supervisory authority (in the UK, the Information Commissioner's Office, ico.org.uk).

09

Security

We apply appropriate technical and organisational measures — including least-privilege access, encryption in transit, and hardened, monitored infrastructure — to protect personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work to protect your data and review our measures regularly.
